Add a Google Slideshow to Your Agenda

Circles is all about interaction, but this doesn’t mean that you cannot present something if you need to. Here is how to bring your presentation into the CircleSpace™️: You prepare a button in your agenda that opens your presentation via a single click. Curious about how to do this? Read on!

  1. Open the Google slides you want to share in your Google Drive. Click on ‘File‘ and select ‘Publish to the web‘ from the drop-down menu.


  1. Select ‘Embed‘ from the pop-up window and click ‘Publish‘.

  1. Confirm your selection by pressing ‘OK‘, then copy the embed link.

  1. In your My.Circles agenda editing space, click the magic wand icon to display a list of possible button functions.

  1. Click ‘Share document’.

  1. Here you will be prompted to:

a) Enter a title for the document – this will appear as the text within the button
b) Enter a URL – here you should enter the ‘embed’ link that you copied from your Google Slides

  1. Click ‘Save’. You’ll now see the button appear within your agenda space.

  1. You can edit the text of your button simply by clicking on it and typing.
  1. Click ‘Save and publish’ once you’re happy with the agenda page.

  1. To begin presenting the slides when you’re in the Circles meeting space, click the button you created. This will display the slides to all participants. Note that participants will have to navigate through the slides individually so you’ll need to tell them what slide you’re on when presenting. 

NOTE: Enlarge the window by clicking on the right border and dragging it out. This will only resize it for you, so remember to advise your participants on how to resize their window too!

  1. To close the window, click the ‘X’ on the top right corner. This will close the window for all participants.

NOTE: Make sure to ‘unpublish’ your document from the web after your session.

Add a Video Button to Your Agenda

Adding a video button to your agenda is super easy. There are two ways for your video to be displayed in the CircleSpace™️. The first way is in a round format in the center of your CircleSpace™️ (we call this the ‘spotlight’). The second is in a larger, shared media window. Read on to see how to add both versions to your agenda.

In the Spotlight 

  1. Copy the URL of the YouTube video you want to show by clicking ‘Share’ underneath the video.

2. Click ‘COPY’ next to the link.

  1. In your My.Circles agenda editor, click the magic wand icon to display a list of possible button functions.
  1. Click ‘Choose Video’.
  1. Here you will be prompted to:

a) Enter a title for the video. This will appear as the text within the button.
b) Enter a URL (your copied youtube link)

  1. Click ‘Save’. You’ll now see the button appear within your agenda.
  2. You can change the text of your button simply by clicking on it and typing.
  3. Click ‘Save’ at the bottom of the editor once you’re happy with the agenda.
  1. To play the video In the CircleSpace™️, click the button you created when ready and the video will appear in the center of the meeting space. To pause it, click the button again. Clicking on the video allows you to zoom in and out of it, independently of other participants’ view.
  2. Once you’ve finished watching the video, click ‘X’ on the left-hand side of it to remove it from the center of the circle.

In a Larger Shared Media Window

  1. Underneath the YouTube video that you want to add to your agenda, click ‘share‘ .
  1. In the window that appears, click ‘Embed’.
  1. On the right hand side, scroll down to ‘Embed Options’ and ensure that the “Enable Privacy-enhanced mode” box is ticked.
  1. Click “Copy

NOTE: Clicking on ‘Start at’ before you copy the link allows you to start the video at a specific time.

  1. Next, follow steps 3 to 8 in the above section
  1. To play the video in your CircleSpace™️, click the button you created in your agenda and the video will appear in a shared media window for all participants to see.
  1. Press the “Start” symbol on the video to play it. This will only start your own video. Ask your participants to mute themselves and remind them to start their videos.

NOTE: You and each of your participants can enlarge the window by clicking on the right border and dragging it in or out. In addition, you can also reposition the window, by grabbing it anywhere on its grey frame.

  1. Once you’ve finished watching the video, click ‘X’ in the top right corner of the media window to close it for everyone.

Add a Collaborative Document to Your Agenda

In the CircleSpace™️, you can do things together. When you work together, you collaborate, you share deeply. In this article, you’ll learn how to add a button to your agenda that opens a collaborative Google document – one of the many types of documents that can be shared in the CircleSpace™️.

As long as you have the option to share your documents with anyone (including those that don’t already have an account with the same platform you are using), you can share it in the CircleSpace™️, using the sharing link or an embed code. A couple of examples include Dropbox, Onedrive and Zoho. 

Add a PDF to Your Agenda

Often we want to share media with the people in our CircleSpace™️. To share information, to review a report, to spark a discussion; you do not have to navigate away from the CircleSpace™️ to look at material together. Here we show you how to include a button in your agenda that opens a PDF in your Circles Space.

  1. Open the PDF you want to share from your Google Drive.
  2. Click the three dots in the top right corner and select ‘Open in new window‘.
  3. Click the three dots in the top right corner again and select ‘Share’.


  4. In the window that pops up, click into the ‘Get link’ box.


  1. Select the option ‘Anyone with the link’ from the drop down and then click ‘Done’.


  2. Now, click on the three dots in the top right corner again and select ‘Embed item’.


  3. Copy the embed link.


  4. In the agenda editor, click the magic wand icon to display a list of possible button functions.
  1. Click ‘Share document’.
  1. 9. Here you will be prompted to:
  2. a) Enter a title for your PDF document -this will appear as the text within the button
  3. b) Enter a URL – here you should enter the ‘embed’ link that you copied from your PDF
  1. Click ‘Save’. You’ll now see the button appear within your agenda.
  1. You can edit the words on the button simply by clicking on them and typing.
  2. Click ‘Save’ on the bottom of the page once you’re happy with the agenda.
  3. To display the PDF in the CircleSpace™️, open your agenda and then click the button you just created. This will display the slides to all participants in the room.
