How to use the features of the CircleSpace™️ on mobile
The Circles mobile app includes some of our most loved features that allow everyone to have a great session experience.
To spotlight yourself, click the middle icon below the participants. The icon will turn orange while you are in the middle. Click the icon again to remove yourself from the middle of the circle.
To raise your hand, click the icon on the bottom to the immediate left of the spotlight icon. When your hand is raised, the button will be green if you are the first to speak, or grey if you’re waiting your turn to speak. You’ll also see a green or grey outline around your circle.
If you want to show your support or agreement with a +1, click the +1 button on the bottom left, beside the handraise icon. The icon will turn blue and you’ll also see a +1 appear over your circle for a few seconds.
To mute your audio, click the microphone icon on the bottom right. This will then turn red and the mute icon will appear on your circle. You can unmute yourself by clicking the microphone button again.
Viewing video circles on the app uses up more bandwidth and may affect the quality of your session if you have a slower connection. If your Internet is unstable you can turn on “no video mode”, which means you won’t be able to see anyone else’s video circles, and they won’t be able to see yours. You will still have access to all of the other features of the app in this mode, so you’ll still have a great session experience. To turn this feature on, click ‘Toggle Video UI’ in the menu.
When you’re ready to leave your meeting, enter the menu and click on the red ‘Leave Meeting…’ button. This will close your session.
All of these features can also be accessed through the menu button on the bottom of the screen.
At Circles, agendas run our sessions! With their easy and interactive design, their structure supports facilitation with minimal distractions.
1. Choosing Where to Create Your Agenda
There are two ways to create new agendas, either in the CircleSpace™️ or in the My.Circles dashboard. We’ll explain both methods below, and the tools you can use when creating.
Creating in My.Circles
Go to your My.Circles Dashboard and log in using your credentials. When you select the ‘Agendas‘ tab on the top of the page the Agenda Library will appear.
Click the new agenda icon on the bottom of the library to begin a new agenda in whatever folder you’re presently in.
Creating in the CircleSpace™️
In the agenda space on the right side of the space, you can either click ‘Create a New Agenda’ if there is no agenda open, or ‘New Agenda’ in the drop down menu accessed by clicking ‘Agendas’
2. Tools to Use When Creating Your Agenda:
Agenda Editor
Start right away! The Agenda Editor is where you can begin to start editing your agenda’s name, set the title of the first page, and allocate time to the first section of your agenda.
Add a title to your current agenda page by selecting ‘Set Agenda Name‘
Begin to type into the ‘Page Name‘ text box to add in your first title.
Decide how long you’ll spend in this section by setting a duration in your progress bar.
Next, write the body of the text. You can use various useful functions:
Adapt the font size
Select a heading style (we recommend using H2 within the body)
Write something in bold, cursive, underlined or strike-through
Make a numbered list or bullet points
Add a hyperlink
Insert a picture (click on the image and insert the image URL)
Change the color of the font or background
Remove formatting
Add a button
NOTE: Adding an image works best when you first paste it into a text document, adjust its size, then copy and paste it directly into the body of your agenda.
Add Buttons to Your Agenda Page
Some of the most beloved features of the CircleSpace are the agenda buttons. They make it very easy to run an agenda by simply clicking on them. To add a button to your agenda, click the magic wand symbol and select what kind of button you want to add.
Agenda Table of Contents
To see an overview of your entire agenda, simply click ‘Contents’. A full overview of your agenda and assigned total time will pop up.
3. Saving The Finished Agenda
When you are done creating your agenda, click on “Save” at the bottom of the page.
After clicking ‘Save‘ you’ll be re-directed to the Agenda Library if you’re working from the My.Circles Dashboard. From here you’ll be able to see all the agendas in your Circle, browse other agendas from your organization, and also take a look at our Sample Agendas. You can easily access all options such as make a new agenda, make a copy, edit, or delete. Now, you are able to bring up your agenda in the CircleSpace™️.
The Circles agenda editor allows you to easily add a picture by inserting the image URL and resizing the image, giving you more flexibility over how your agenda page looks.
Adding an image with the image icon
Find an image on the internet you wish to use. Right click on the image and click ‘Copy Image Address’.
In your agenda editor, click into the body of the agenda and navigate to the page where you would like the image to appear.
Click the image icon.
Paste the image link that you copied and you’ll be prompted to set the size of the image in the agenda. For images that sit in their own lines like header images, the agenda editor will handle the size for you so there’s no need to enter one. For images that sit in the same line as text, you will need to adjust the size to make it fit with the text.
Click ‘Save’ on the bottom of the page, once you are done editing your agenda.
Using Circles Images and Icons
We have a ready-made list of icons and images that we commonly use for agendas, including favourites like the +1 or the handraise icon.
You can grab any of these URLs in this article and add the image to your agenda by going to this page and copying the URL.
At some point during a session, you might want to show your fellow participants something on your own screen. Luckily, it is very easy to share your screen with the people in your Circles session:
Open the left-hand side menu, by clicking on the three white bars in the upper left of the CirclesSpace™️.
Toggle on the Screen share.
Select which part of your screen you want to share; the easiest option is to share your entire screen. To do this, click on the picture of your screen, then click the ‘Share‘ button below.
The icon in the middle of the CircleSpace™️ tells you that you are sharing your screen, as well as the small bar at the bottom of the screen. Your fellow participants can see what you see on your screen in a pop-up media window.
To stop sharing your screen, simply click ‘Stop sharing‘ in the little bar on the bottom of your screen, or in the icon in the centre of the CircleSpace™️.
Following all the steps correctly and still can’t share your screen? Check out this article on how to fix your problem.
Share your Screen and See Circle Participants at the Same Time
You may wish to be able to see and interact with the other members of your circle while you are sharing your screen. The following steps will demonstrate how to do this. NOTE: This process does not work on Safari, but will work with Chrome, Firefox, and Edge.
Position the window you wish to share and the window with the CircleSpace™️ side-by-side on your screen.
In the CircleSpace™️, toggle screen sharing to ‘On’ in the menu on the left of the room.
In the window that pops up, select to share a ‘window’ (on the top), then select the image of the window you want the other participants to see. When ready, click ‘Share’ to start sharing.
Accidentally clicked ‘Start‘ before you were ready? Now, the progress-bar that guides you through the sections and timings of the agenda is off. No problem, you can easily reset the progress bar of your session. Here is what you need to do:
Go to Tools by clicking on the three white bars on the left or the ‘Tools’ button on the right.
Select ‘Advanced‘.
Click ‘Reset progress-bar‘.
Confirm that you want to reset the progress-bar by clicking ‘OK’.
