Operations and Experience Specialist

Circles is a startup, based in New York and Barcelona, that delivers a Peer Learning System for companies, communities and schools, at scale. Partnering closely with our clients, we design, launch, and run high-functioning circles that openly share ideas, work through obstacles, and learn to count on each other.

To accomplish this, we’ve built a conference platform – the Circles space – that fosters meaningful conversation through purposeful technology. Our curriculum design, professional facilitation, and data-driven learning offer employees a safe place to learn, explore, and grow with their peers.
Circles was founded in 2017 and has steadily grown into a distributed team of fifteen full-time employees, several part-time colleagues, and stable of independent contractors. This is a full-time staff opportunity based in Barcelona in the Operations & Experience Department.

The Mission

Key Responsibilities

> Supporting our program and customer success management efforts, including the onboarding and activation of new customers.

> Administrative support, including database management, customer record updates, and scheduling of online sessions. 

> Product demonstrations and scheduling follow-ups.

> Collecting customer feedback and data by means of 1-1 interviews.

> Customer support, including live tech support via phone and chat and proactive outreach via email.

> Operational support, including the maintenance of our customer support systems (CRM, dashboards, ticketing, internal database).

> Marketing-related work focusing on the front end of our funnel, including lead generation, qualification, and live sales conversations over email and social media to nurture leads until they reach the right stage.

You’re a good fit if

  • You’re based in Barcelona.
  • Your English is at a professional level (high), and you have good verbal and written communication skills.
  • You have experience in the field of customer success, customer support, and/or operations.
  • You have experience supporting, selling or building a technological product or service.
  • You appreciate flexible hours (keep in mind the unusual hours due to different time zones). This job might require you to to work in the evening (i.e. 3 pm – 11 pm CET).
  • You have a thirst for learning and are happy to dive into new problems with little supervision.
  • You understand what it takes to work for a young start-up company and are willing to go the extra mile.
  • You’re a great team player and enjoy learning from others while helping them to succeed.
  • You are open to doing any job that helps the productivity of the team and you ideally have some experience working within a start-up environment.

You’ll draw our attention even more if

> You have knowledge of and/or experience working within the HR/L&D sector.

> You have knowledge of and/or experience in working with a SAAS model.
