This privacy policy will explain how our organization uses the personal data we collect from you when you use our website and the products and services provided through our website. What data do we collect?

Circles collects the following data from people requesting information on our website www.circl.es :

  • Any data you choose to provide us with like
    • Personal identification information (first name, last name and email) to provide you with further information 
    • Comments or feedback you provide to improve our services

On www.circl.es we are connected to a range of external service providers. You can find their privacy policies linked below.

Circles collects the following data from people using the Circles space (found at URLs starting with www.meet.circl.es ) and www.my.circl.es :

  • Personal identification information (first name, last name, and email) to make sure you can use the platform
  • Data that help us troubleshoot, in case of technical issues (e.g., browser, OS, packets lost, IP address)
  • Behavioral data from the Circles meeting room, such as attendance, feature usage, and talk time, to help us improve our services and provide metrics reports to customers
  • Meeting notes and action items for you to use in the upcoming meetings
  • Survey feedback to improve our services and report back to you

In the Circles space (www.meet.circl.es) and on www.my.circl.es we use an external system called Chatlio for customer support . You can find their privacy policy linked below.

How do we collect your data?

You directly provide Circles with most of the data we collect. We collect data and process data when you:

  • Register online
  • Sign up to receive resources from our website
  • Complete a customer survey or provide feedback
  • Use or view our website via your browser’s cookies
  • Use the Circles meeting room

Our Company may also receive your data indirectly when a person you are working with signs you up for Circles. 

How will we use your data?

We use data provided to us via your sign up to:

  • Communicate with you
  • Provide you with access to the Circles space

We use data generated in the Circles space to:

  • Improve the meeting experience. Your information helps us better serve individual needs as well as troubleshoot your support requests when necessary.
  • Reply effectively to questions, comments, issues, and feature requests.
  • Monitor and analyze platform, features, and tool usage to improve our services.

How do we store your data?

Our company website www.circl.es is hosted on the Wix.com platform. Your data will be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. 

Also your information exchanged in the Circles space (pages starting with www.meet.circl.es ) and on www.my.circl.es is stored securely on the Amazon Cloud. All data is encrypted at rest and in motion. This means that everything you send us and all data we store that is related to the service we provide you is encrypted. This means your communication and information shared is converted into code, to prevent unauthorized access. Therefore, no one else can listen to what you say or see in our meeting room. 

Data that can be accessed via my.circle and the user homepage, such as agendas (and changes made to them) and parking lot/action items, is stored securely on our server. 

Third party access to your data

We give certain independent contractors access to Personally Identifiable Information, like usernames and emails, so that they can help us provide our services, like customer support and product development. All those contractors are required to sign contracts in which they promise to protect the data using procedures reasonably similar to ours. 

We also may disclose data to attorneys, collection agencies, or law enforcement authorities to address potential AUP violations, other contract violations, or illegal behavior. And we disclose any information demanded in a court order or otherwise required by law or to prevent imminent harm to persons or property. Finally, we may share data in connection with a corporate transaction, like a merger or sale of our company, or a sale of all or substantially all of our assets or of the product or service line you received from us, or a bankruptcy.

What are your data protection rights?

Circles would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request Circles for copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that Circles correct any information you believe is inaccurate. You also have the right to request Circles to complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that Circles erase your personal data, as required by law.
  • The right to restrict processing – You have the right to request that Circles restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to Circle’s processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that Circles transfer the data that we have collected to another organization, or directly to you, under certain conditions.
